Portola Valley recognizes that we profit from the commodification of land seized from indigenous peoples and now bear the ecological consequences. We seek to understand the impact of these legacies on all beings and to find ways to make repair. Parks and Recreation Committee Meeting Minutes Call to Order: The meeting was called to order at 7:04 p.m. via Zoom Members present: Patty Dewes, Karen Askey, Jon Myers, Cindy Rowe, Minnie Sarwal, Steve Erickson Members absent: Lindsay Bowen, David Bailey Oral Communications: None Approval of Minutes: The minutes of the July 21, 2026, meeting were approved unanimously without edits. NEW BUSINESS: Patty received a suggestion from the Conservation Committee chair to reduce watering on Town Fields due to the high costs. It was felt by the committee that might be seasonal, so Steve agreed to go through the warrant lists and let us know month by month what we spend so we have a better understanding of the costs before we discuss. OLD BUSINESS: a. Zott’s to Tots/Town Picnic: Date, Saturday, September 19 Zott’s to Tots: • Bibs, medals and trophies have been ordered. The logo for Zotts is done so Jon can order the temporary tattoos. We are still working on the logo for the tote bags which will be more generic. • Registration is now live and the Town will start publicizing it. • Jon will follow up with Mayor Craig to start Zotts; failing him, he will ask the Vice Mayor Mary Hufty who has done this many times. • We decided that bikes will start IN FRONT of the other participants. Karen will provide the tables for the start; Jon will get volunteers for signing in, distributing bibs, tote bags, etc. • Cindy, Steve and Minnie will handle the finish line (Patty will meet with them separately to plan this). • Patty is working w/ Justin will provide the cones and trash cans. • Ice Cream will be provided by the Friends of the Portola Valley Library in the circle in front of the library. We’ll have signs directing people there. • Patty is working w/ Cal Water to provide their Water Wagon about halfway through the course. We need to figure out who provides cups and provide power and a trash can. • Patty is working w/ the Priory for add’l volunteers for the finish line and the picnic. Town Picnic: • Everything has been ordered, including the Premium Dunk Tank. Karen is looking for volunteers to be dunked. It was suggested that Priory teachers might be fun. • Band is the Salty Licks, and we have good committee representation for booths. • Patty also needs to set up a meeting w/ Cindy Rodas (Town) for the checks needed on the day of the picnic. • Justin will ensure that a hose is available near right field to fill the dunk tank. • We will also confirm w/ Justin if he plans to take down the temporary home run fence around the softball field outfield so that doesn’t get destroyed. b. Next Game Night: Trivia Night Saturday, November 14: Jon will be ready with the questions, and we will discuss more of the details at the October meeting. c. Discuss Town Court Outstanding Topics: Cleaning of Storage Shed. Cindy cleaned the extra, unused Pickleball stuff out of the storage shed. Jon is checking on the soccer equipment stored there and Steve checked the softball equipment in the shed. It is already much better. Slippery Courts The courts are slippery for several reasons: • They haven’t been resurfaced since they were built in 2008 • The baseball field dirt blows onto the courts on windy days and when the infield is dragged • The trees drop leaves and debris • The concrete is now smooth, so it became slippery. We agreed that the courts should be cleaned regularly. Justin will clean them for the rest of the season once a month and will get estimates for having it done monthly when we resume regular play. We can then ask the PV Pickleball club to either pay for the cleaning or for volunteers to do the cleaning if the town provides a hose and a water supply. d. Master Fee Schedule: Status and Next Steps We are postponing this discussion until after the picnic. A lot of work has already been done. e. Status of Proposal for Potential Replacement of Existing Portable Restrooms and Snack Shack at Dorothy Ford Park & Open Space There is no update as of today. The consultants are working on a presentation for Town Council, which has yet to be scheduled. Parks & Rec is concerned about not being consulted as a key stakeholder (as well as Little League). We also expressed concern about timing issues and putting the $180,000 grant at risk. Patty will reach out to Craig and Darcy to push for action, and Steve will see if Little League can also apply some “encouragement.” Darcy has also raised some concerns about the interaction between the Parks and Recreation Committee and the Town Council given that our committee is not Brown Act. Jon suggested that we need to review this and what it means for our committee. Patty will put it on a future agenda.
